Formation of Organizing Structure at National Jump Rope Championship

JRFI distributed different jobs by forming various committees viz. Host Organizing Committee (HOC). Before getting indulge into thick of the things JRFI forms Work Breakdown Structure (WBS) in a way to minimize the work load & accelerate the preparation of 9th Junior National Jump Rope Championship – 2012. JRFI practices a different communication channel this time as shown in below mentioned figure. Here the President & General Secretary are been in continuous communication with Protocol Committee members. Protocol Committee members are keeping a proper check that every work is going through a proper protocol or not. The very first job of Protocol Committee is to form a Gantt chart to work on time. It is also the responsibility of Protocol Coordinator to ensure that all jumpers & Official are given appropriate services.

The Organizing Director was here playing the important role in HOC as it is not only forms different sub-committees but also Monitoring, Devising, Planning, manage & co-ordinate with its sub- committee member. By division of labor the result of NJRC was found to be both effectively as well as efficiently.

  

TRANSPORT COMMITTEE

The Transport Committee has played a vital role as they are responsible to provide the shuttle service, bus, or any other means of transport to jumpers & coaches. In order to make it easier for Jump Rope State Association coming from different states to identify them, HOC provided a separate uniform to them. They are simply guiding & leaving from Railway Station, Bus Stops or any other place to Maharshi Dyanand University Campus. All the members of this committee already got the running sheets listing expected Arrival of the teams. 

MEDICAL COMMITTEE

In order to develop the coaches, JRFI installed a new forum where the coaches shall get to

ACCOMMODATION COMMITTEE

The Accommodation Committee was the in-charge & responsible for accommodation of jumpers & Officials. The Accommodation committee has divided its own members into 3 ways 

1. One is holding the responsibility of jumpers both boys & girls. Jumpers were accommodated at University Boys & Girls Hostels

2. Second team is taking care of Officials & Coaches who were accommodated at Jat Bhawan

3. Third team was taking care of JRFI’s member & some important delegates. They were accommodated at University’s Faculty House & Circuit House.

CATERING COMMITTEE

Catering Committee members not only check the menu before the serving of Breakfast, Lunch or Dinner. But also make sure that the proper diet should be provided. Catering committee In-charge had running sheet where the schedule or Breakfast, Lunch, Dinner timing was mentioned. It was there responsibility to make the food ready before 5 minutes & the result of it there were no delay in NJRC due to food. 

PHOTOGRAPHY

The NJRC is the integral & important part of JRFI as more we shall organize NJRC more there shall be promotion of the sport of jump rope through different media channels. In order to publicize a professional photographer should be hire. The Professional photographer was hired by Organizing Director & work temporarily in HOC.

CLEANLINESS & WASTE MANAGEMENT COMMITTEE

Cleanliness & Waste Management Committee work was to keep check on few significant places like Canteen, Dining Hall, Practice Hall etc. that whether there are waste disposal bins or not. By introducing this Committee the jumpers become more conscious & alert Moreover most of them are trying to avoid littering. As it has been told by Technical department already that even a small dirt can influence the score of jumper so 2 workers were hire just for this cause so that there will be cleanliness at Courts.

SOUND & LIGHTING

Here the Sound technician was responsible for playing the music at different occasions like Freestyles, Demo, Opening Ceremony, Parade by jumpers etc.

While Lighting technician was taking care of position & number of power outlets required, Extension boards, Mic, Emergency Power Back up etc.

USHER

Ushers arrived one hour before the start of a NJRC. Two to three ushers inside the Multipurpose Gymnasium Hall greet members and assist them to their seats.  This role was particularly important in assisting handicapped member and assisting those unfamiliar with the hall to their seats during Ceremonies.

STAGE DECORATION COMMITTEE

The Stage decoration Committee members are responsible for decorating Stage like where to kept lectern, Direction of the stage, where to kept Flowers, to check entry & exit of stage etc. Not only this but this committee also takes care of Signage, Banner & Hoarding place like for e.g. Welcome Gate, Stage Background, Venue, Lectern etc. 

ANNOUNCER

Orator/ Announcer is playing a vital role in NJRC as he is responsible for feeding the jumpers, officials, spectators with right knowledge. 

TECHNICAL MEDIA MANAGER

Technical Media Manager was introduced the very first time. He was reposible for report writing, updating internet websites, Managing Database. 

EQUIPMENT INCHARGE

Equipment In-charge is responsible to take care of all the equipment’s like jump ropes, score sheets, laptops etc. This post was introduced as JRFI already confronted many problems as there were no specific people designated at this position before so sometimes the equipment’s were lost. It is the duty of Equipment Incharge to report Protocol Coordinator time to time. 

CONTROL ROOM

Control Room was occupied by the Judges & Call out. 

VOLUNTEER COMMITTEE

Volunteer Committee was formed in a way to promote the spirit of the sport of jump rope. In order to make 9th Junior National Jump Rope Championship as one of the successful & healthy Championship Volunteers play the very important role.

ACCREDITATION

Accreditation department is occupied by Docs Checker who is responsible for Checking the Forms, Date of Birth & other documents & after finalizing the list it has been. After the inclusion of the sport on MYAS it is necessary to take some crucial steps in order to avoid the errors like age proof. If the jumper is participating in Below 16 years age category then it is required that S/he should have the proof or evidence that S/he is below 16 years. JRFI is looking forward to make medically fit certification certified by Doctor also compulsory from next NJRC.
